What a WMS for Acumatica actually costs.
Five tiers, published in full. Three things drive which one you land on: how many people are scanning, how many warehouses you run, and how complex the first configuration is. Nothing else.
You are not buying a checklist of unlocks. Every tier ships the whole product — receiving, putaway, inventory, cycle counting, quality hold, replenishment, kitting, fulfillment, pack and ship, label printing, the label designer, the manager portal and Watchpost monitoring. What changes between tiers is scale, not capability.
We publish these rates because almost nobody in this category does. Of the Acumatica WMS vendors we researched, exactly one publishes any pricing at all. You should not have to sit through two calls to find out whether a product is in your budget.
Two components on Sentinel. Three on everything above it.
There is no fourth line that appears after signature.
Platform subscription
A monthly base fee. Covers the software, your dedicated VM, hosting, platform updates and Watchpost monitoring of your installation.
Concurrent users
Charged per person actively working in WMSi at the same moment, not per login. Named accounts are unlimited at no extra cost. Three people sharing one scanner across three shifts who never overlap is one concurrent seat, not three; one person carrying two devices is still one. Sentinel has no per-user fee at all.
Implementation
A one-time fee, published per tier below. WMSi does the work — configuration, data validation, label templates, training, go-live. On Sentinel this is the fixed $1,500 Kickstart Package instead.
Your Acumatica licences are separate and stay with your VAR. WMSi never resells Acumatica. If someone quotes you a single blended number that includes both, ask which part is which.
Five tiers. Every one of them ships the whole product.
Tiers are sized by how many people are on the floor. Pick the row your headcount falls in; the modules are identical either way.
Next to each price is what a comparable from-scratch WMS implementation typically runs in its first year. We have run WMS implementations for seven years across roughly 15 to 17 projects — this is what that history says it usually costs, not a quote from any named vendor. It is conservative: real deployments often cost more than this, not less.
The figure covers software, implementation services and the ERP integration for the first twelve months — the same scope as WMSi's own total, which excludes scanner hardware, carrier accounts and Acumatica licenses either way. Ignore any per-user “estimate” a comparison site generates for a named competitor: those vendors do not publish pricing, and the sites usually admit as much in their own fine print.

Every tier runs on its own dedicated VM. Isolation is not an upgrade — it is how the product is built. Quote validity: 30 days.

Sentinel is deliberately limited so it stays honest about what it can carry. The limits below are hard, and we would rather you read them now than discover one in month four.

The Sentinel Kickstart Package — $1,500, one time
The Kickstart Package replaces the traditional implementation fee. It is not optional: it must be purchased to activate a Sentinel deployment.

If you need more than this, you belong on Rampart with a full implementation. We will say so rather than sell you a Kickstart that cannot carry the project.

The $499 rate is locked for years one and two. From year three it is subject to the same escalator every other tier carries — up to 3% on 60 days written notice, never applied without warning.
For Acumatica VARs: referral compensation on the Kickstart Package and the renewal commission are both arranged individually rather than published as a flat rate. At $499 a month, Sentinel is designed as a self-serve or light-touch referral product rather than a full VAR-led sale. A Sentinel customer who outgrows the tier upgrades to Rampart on a standard contract with a full implementation, and the referring VAR earns standard Rampart margin on that deal. More for VARs.
When Sentinel is right, and when it isn't.
The gap between $499 flat and $1,324 a month at 15 users is real money at this size. Here is the honest test, in the same words we use internally.
Sentinel is right if you have
- One warehouse, and no plans to add a second
- Fewer than five concurrent scanner operators on the floor
- Simple receiving, picking and shipping workflows
- No manufacturing and no complex kitting requirement
- A single-branch Acumatica configuration
Rampart or above if you have
- Any of the above in reverse — a second building, a sixth scanner, a second branch
- A need for custom label design, API access, or priority support
- A desire for on-site implementation assistance
- A history of WMS failure you need to recover from
That last one is not a sales line. A failed WMS leaves data damage and a floor that has stopped trusting the system, and neither is fixed by a 90-minute walkthrough call.
Moving up later is not a migration. Configuration, data and label templates carry forward — it is the same product, and the tier is a scale setting, not a different build. What changes is that a Rampart upgrade comes with a full implementation, which is described phase by phase on the implementation page.
What every subscription includes — and what no tier ever does.
Included in every tier
- Every module. There is no feature paywall between tiers.
- The dedicated VM, hosting, backups and DR
- Watchpost monitoring of your installation, with no agent to install on anything of yours
- Platform updates, including Acumatica version tracking
- Support owned by WMSi directly — not handed to a partner
- The label designer, with unlimited templates
These are real costs on your side of the line. We are putting them here, at full size, rather than in a footnote you find after signature.
- Acumatica ERP licences — these stay with your VAR. WMSi does not resell Acumatica.
- Scanner hardware — buy your devices anywhere. We will advise on compatibility.
- PrintNode subscription — label printing requires your own PrintNode account.
- EasyPost or ShipEngine carrier accounts — rate shopping and label purchase run on your own carrier accounts.
- Email provider costs — AWS SES or equivalent, on your account.
Every one of these is a service you own and control directly. That is deliberate: your carrier rates and your printer fleet should not be locked inside a WMS contract.
The commercial terms, published.
These apply to Rampart, Bastion, Stronghold and Fortress. Sentinel is a flat rate with no escalator and no implementation split — the Kickstart Package is paid once, up front.
- Annual escalator
- Up to 3% on the base fee and the per-user fee, with 60 days written notice. It is a ceiling, not a schedule.
- Implementation split
- 50 / 50 — 50% on contract execution, non-refundable, and 50% at go-live. The second half is not invoiced until you are live.
- Billing cycle
- Monthly, in advance.
- Customisation rate
- $175 / hour, available from 6 months after go-live. The six-month wait is on purpose: most week-three change requests turn out to be configuration tuning, and tuning is included.
- Extended implementation
- $175 / hour after 90 days from contract execution. Implementations that run past 90 days usually do so because data or Wi-Fi work on your side has stalled — we flag that in week one, not in month four.
- Project restart fee
- $2,500, after two consecutive Flagged Months. A project that has gone quiet for two months has to be re-scoped and re-staffed, and we would rather name the cost than pretend it is free.
- Contract term
- One year, billed monthly.
- Cancellation and notice
- 60 days written notice before the end of the term.
What you are actually comparing this against.
Three real alternatives, described the way we would describe them if you asked us on a call.
Doing nothing. Free until a mispick ships, a count stops the floor, or an auditor asks who moved a lot. Most operations underestimate this line because nobody invoices for it.
Acumatica's own WMS module. It is already in the software you own, and switching it on is the shortest path. It is a reasonable fit for simple, single-shift, single-location picking. It does not model many people receiving one purchase order at once, it has no drag-and-drop label designer, and every tenant shares infrastructure.
Another third-party Acumatica WMS. Savant and Fusion both sell into this lane and both are credible products. We are not going to publish their prices from memory. What we will suggest is that you ask all three vendors the same two questions — does my data share a database with other customers, and can my warehouse manager change a pallet label without filing a ticket. Our answers are no and yes, and both are checkable in a demo.
The “Other WMS, first year” figures on the rate card above are a different kind of number: not a quote from Savant, Fusion, or anyone named here, but our own aggregate estimate of what a comparable from-scratch implementation has typically cost across many deployments. It is a conservative one — actual costs are usually higher, not lower.
A checkbox grid ages badly, invites a rebuttal page, and tells you nothing about whether a product survives your Tuesday. Three honest paragraphs and two questions you can ask every vendor are worth more.
Pricing questions, answered.
Is it per user or per device?
Per concurrent user — how many people can be actively working in WMSi at the same moment, not how many people have a login. Set up as many named accounts as you want at no extra cost. If three people share one scanner across three shifts and never overlap, that is one concurrent seat, not three. If one person carries two devices, that is still one concurrent user. Sentinel is the exception in the other direction — it has no per-user fee at all, and is capped at 5 concurrent scanner sessions and 10 named accounts.
Why does every tier include every module?
Because feature gating creates a product where the thing that would have fixed your problem sits behind an upgrade, and neither of us finds that out until month six. The tiers are sized by scale — users, warehouses, branches. The software is the same software.
Is implementation really extra?
Yes, and it is a fixed published number per tier rather than an hourly estimate that grows: $10,000 on Rampart, $14,000 on Bastion, $20,000 on Stronghold, $28,000 on Fortress, and the $1,500 Kickstart Package on Sentinel. Do I need Acumatica licences on top?
Yes. WMSi is a warehouse management system for Acumatica; it does not replace or resell it. Your Acumatica licences stay on your existing agreement with your VAR.
Can I buy directly from WMSi?
WMSi sells through Acumatica VARs. If you do not have one, or yours does not handle warehouse work, tell us about your operation and we will introduce you to a partner who does. You are not passed around: WMSi still runs the implementation and still answers the support call.
What happens when I add a second warehouse?
A second warehouse takes you off Sentinel, which is single-warehouse by design and has no exception. Above Sentinel it is a scope conversation: the new site needs its own configuration, its own label templates and its own go-live, and your user count usually moves at the same time. Nothing about the first site is rebuilt, and there is no re-platform.
What if we outgrow the tier we start on?
You move up and pay the difference from that month. Configuration, data and label templates carry forward. Moving from Sentinel to Rampart is the one step that adds a full implementation, because Sentinel's Kickstart Package deliberately does not include data migration, custom label design or extended training.
Why is there a per-warehouse and per-VM cost at all?
Because every customer gets a dedicated VM rather than a row in a shared tenant. That VM has real cost, and it is the reason our data-isolation answer is one sentence long instead of a paragraph about logical separation.
Is there a minimum term, and how do I cancel?
One year, billed monthly, with 60 days written notice to cancel or decline renewal before the term ends. That is what is in the contract in front of you, published here rather than saved for the call.
How fast do I get a quote, and how long is it good for?
Turnaround: 3 business days. Validity: 30 days. The rates on this page are the rates; what the quote adds is your user count, your implementation tier and anything specific to your site.
